Use categories instead of one long memory test
Group tasks by venue, guests, food, supplies, setup, and cleanup. Categories reduce the chance that a necessary detail disappears under decoration or shopping tasks.
Confirm what the venue already provides
Ask about tables, chairs, power, restrooms, water, ice, waste bins, serving items, setup time, and cleanup rules before buying or renting duplicates.
Prepare the day-of essentials
Keep a short set of basics available: a contact list kept outside the tool if needed, serving supplies, trash bags, wipes, a simple first-aid kit appropriate for the setting, and a cleanup plan.
Close the event deliberately
Before people leave, confirm borrowed items, leftovers, waste, venue rules, and the final payment or deposit process. Cleanup is easier when responsibilities are agreed beforehand.
Example: a school activity in a rented room
Before purchasing supplies, ask the room manager about capacity, tables, cleaning, waste, and access time. Then divide the checklist into items the venue provides, items one person brings, and tasks that can wait until the day.
What this checklist cannot replace
It cannot replace the venue's written rules, local safety requirements, an accessibility review, or responsible medical and food planning. Add the requirements that apply to your location and guests.
